| The AF ISR Digital Infrastructure Transformation effort supports governance, visibility, decision-making, and execution alignment across foundational digital infrastructure portfolios, including data, automation, artificial intelligence, networks, cloud, enterprise services, cybersecurity, and related modernization initiatives. The program helps leadership maintain disciplined oversight, improve task visibility, and preserve decision quality across high-visibility mission support activities. Program Scope The program scope includes executive forum management, agenda and read-ahead preparation, classified material control, decision documentation, action tracking, knowledge management, stakeholder coordination, workflow improvement, records management, reporting support, and the governance processes required to maintain alignment, accountability, and execution across executive-level decision forums. |
Role Overview
The Senior Executive Support Specialist provides senior-level executive governance, meeting lifecycle, decision documentation, and classified administrative support for AF ISR Digital Infrastructure Transformation activities. The role supports executive councils, boards, pre-briefs, and related decision forums by ensuring topics are properly staffed, read-ahead materials are complete, decisions are documented, actions are tracked, and TS/SCI materials are handled in accordance with security and records-management requirements.
Key Responsibilities
Governance Lifecycle Management
- Manage the master schedule for executive councils, boards, pre-briefs, and ad hoc governance sessions.
- Serve as the intake and coordination point for topics submitted for executive review, ensuring packages are complete, properly staffed, and routed for required approvals.
- Provide presenters, sponsors, and action officers with procedural guidance, suspense timelines, participation requirements, and required package standards.
- Develop and maintain meeting agendas and coordinate updates based on leadership priorities, emerging issues, and time-sensitive decisions.
Executive Briefing and Decision-Support Materials
- Review and refine briefing materials to improve clarity, structure, accuracy, and decision quality for senior leadership review.
- Compile and distribute read-ahead packages within established suspense timelines while maintaining strict version control and information integrity.
- Ensure presentations, memorandums, decision papers, and supporting documents are concise, properly staffed, and suitable for executive-level discussion and action.
- Handle, store, transmit, and control classified or sensitive materials in accordance with TS/SCI requirements and approved release controls.
Meeting Execution and Official Documentation
- Attend executive sessions to capture decisions, action items, voting outcomes, leadership guidance, and required follow-on actions.
- Prepare meeting minutes, decision memorandums, executive summaries, and related correspondence that preserve the official record.
- Manage staffing, review, signature, and final distribution of executive decision documents, including asynchronous staffing actions when required.
- Document proceedings in a manner that establishes clear ownership, suspense dates, expected outcomes, and accountability for follow-on actions.
Knowledge Management and Action Tracking
- Maintain the official repository for executive council records, meeting materials, decision documents, and supporting artifacts in accordance with security and records-management requirements.
- Track follow-on tasks, reports, edits, suspense items, and leadership-directed actions through closure, elevating roadblocks when needed.
- Use modern workflow and collaboration tools such as Jira, Confluence, SharePoint, or similar systems to provide leadership with visibility into issues, decisions, and action status.
- Maintain templates, trackers, decision logs, and governance documentation that support repeatable execution and continuity across meeting cycles.
Stakeholder Coordination and Process Improvement
- Coordinate effectively with council leadership, action officers, presenters, voting members, security personnel, and support staff to sustain a reliable governance process.
- Communicate deadlines, required revisions, leadership feedback, and meeting-cycle expectations to stakeholders in a clear and timely manner.
- Collaborate with presenters and sponsoring stakeholders to improve briefing products before senior leadership review.
- Identify and implement practical improvements to templates, trackers, staffing workflows, and governance processes to enhance transparency, efficiency, and accountability.

| Education |
| Bachelor’s degree in Business Administration, Public Administration, Management, Communications, Political Science, Organizational Leadership, Information Management, or a related field preferred. Equivalent senior executive support, military, government, intelligence, or administrative experience may be considered in lieu of a degree. |
| Professional Certifications |
| Project Management Professional (PMP), Certified Associate in Project Management (CAPM), or similar project management certification preferred.Certified Administrative Professional (CAP), records management, knowledge management, or governance-related certification preferred.Security+, Microsoft 365, SharePoint, Jira, Confluence, or workflow management training preferred. |
| Minimum Qualifications |
| 10+ years of experience supporting executive operations, governance processes, board or council management, action staffing, program management, or comparable senior leadership support functions.Active TS/SCI clearance.Experience managing high-visibility meetings, decision forums, governance boards, or executive-level processes in government, defense, intelligence, or similarly regulated environments.Experience preparing, reviewing, and coordinating briefings, executive correspondence, meeting minutes, decision memorandums, staffing packages, or comparable leadership support products.Experience handling classified, controlled, or otherwise sensitive information in accordance with established security, release, and records-management procedures.Experience tracking actions, suspense dates, decisions, and follow-on tasks through closure using approved collaboration, workflow, or knowledge management tools.Experience coordinating across senior executives, action officers, presenters, security personnel, technical staff, and operational support teams.Strong written communication, meeting coordination, attention to detail, discretion, organization, task management, and stakeholder engagement skills. |
| Preferred Qualifications |
| Experience supporting Air Force, DoD, Intelligence Community, HAF, MAJCOM, or comparable national security executive forums.Experience supporting TS/SCI budget materials, resource review processes, senior governance packages, or other sensitive executive decision materials.Experience with SharePoint, Jira, Confluence, Microsoft 365, or similar executive records repositories and knowledge management environments.Experience drafting executive memorandums, decision packages, formal minutes, or senior leader correspondence for review and approval.Experience improving organizational processes, meeting workflows, staffing templates, trackers, or governance mechanisms in high-visibility environments.Experience supporting digital infrastructure, cloud, data, cybersecurity, enterprise services, automation, AI, or related modernization portfolios. |
